Women United Coordinator (Part-time)


Purpose of this Position:

With minimal supervision and a high level of personal initiative and autonomy, individual’s responsibilities will focus on the coordination and support of the United Way’s women’s initiative. Dedicated to making a difference through focused philanthropic giving, advocacy, and volunteerism, Women United is an affinity group of United Way of Allen County focused on early childhood programs. The position works closely with the Engagement Strategies team and volunteers to implement and oversee sponsorships and special events, focusing on corporate and community fund development. Provides on-going leadership and direction to volunteers in the areas of sponsorships and special events. Position is part-time.


% of Time | Essential Duties

50% Administration

Coordinates administrative support for Women United volunteers.

Provides support for Women United functions (i.e. meetings set-up, collection of reservations, check-in at functions); generation of minutes after Women United Steering Committee meetings.

Utilizes Andar and Get Connected (website) to track actions in a timely, accurate and complete fashion, maintain appropriate records, reports and analysis as required.

Works with Community Impact staff to ensure that Women United projects are aligned with early childhood efforts.

Facilitates communications with and between lead Women United volunteers on a regular basis.

Maintains Women United rosters, calendar of events and updates for the website.


25% Event Management

Plans and manages Women United event details including site, scheduling, catering, United Way’s role in sponsored events, and all other required arrangements.

Provides supervision and coordination to ensure successful event execution; responsible for all aspects of events, including timelines, facilities, speaker, entertainment, vendors, and materials needed. Ensures that expenditures do not exceed budgeted amounts.

Recruits, trains, supervises and properly acknowledges all volunteers necessary for the successful execution of events.

Maintains frequent and responsive communication with event sponsors, volunteers and Partner Agencies.


25% Program Growth

Works with lead volunteers to recruit and expand Women United membership.

Supports volunteer efforts to ensure successful outcomes.

Networks and actively promotes Women United throughout the community.

Works with United Way marketing to coordinate the production of publicity items such as posters, banners, invitations, favors, giveaways, and recognition gifts.

Secures in-kind donations and sponsorships for affinity group. Assists in procuring sponsors and in-kind donations for campaign and other organizational needs.



Minimum Education and Experience:

BS/BA preferred in Business Administration, Marketing, or related field or combination of education and three (3) years related experience.

A minimum of three (3) years’ experience in event management preferred


Minimum Knowledge and Skills:

Proven ability to build and maintain effective relationships with event sponsors, United Way Board members, volunteers, staff and the general public. Represents United Way in the community in an appropriate manner.

Demonstrated project management, time management, and organizational skills, with the ability to manage details of multiple and complex projects within firm schedules, set priorities that accurately reflect the relative importance of activities or job duties, and effectively carries out event goals in a manner that enhances the image of the organization.

Demonstrates strong communications skills, both written and verbal, and assures the accuracy of all United Way Special Events communications.

Expert-level proficiency in MS Office products; experience with Andar is a plus.

Willingness/ability to work under pressure, manage multiple projects and respond nimbly to changing deadlines without close supervision.

Strong organizational skills and ability to function as part of a team while providing leadership for event sponsors, volunteers and the general public.

Demonstrated ability to prepare reports, and present data in an understandable form.

Individual must be able to work with data that is of a critical and confidential nature.


Physical Requirements/Work Environment:

Work is primarily carried out in a controlled, agreeable environment as generally represented by normal office conditions. Standard office activity associated with attending meetings within the organization and meeting external constituents. Frequently required to sit, stand, walk, talk, hear and read; use hands to finger, handle or feel; and reach with hands and arms; climb stairs, stoop, kneel or crouch; type; operate a computer, calculator, copy machine, fax machine, and other equipment typically found in an office environment. Extended periods of time sitting at desk and working on computer. Frequently required to drive/operate a car, lift, carry and load supplies and materials of approximately 30 pounds. Minimal, local meetings as required. Occasional annual UW conference attendance as determined by supervisor. Valid Indiana driver’s license; required minimum insurance coverage and daily access to reliable transportation. Occasionally required to work hours outside the standard 8:00 AM to 5:00 PM timeframe.
